What is auction events software?

A catalog with a countdown — and every lot closes on its own schedule.

An auction event is a scheduled sale with a defined catalog of lots, each with its own opening bid, reserve, and closing time. Unlike always-on timed auctions where individual items are listed whenever you like, an event has a name, a date, and a logical sequence — lot 1 closes first, then lot 2, three minutes later, then lot 3, and so on through the catalog.

This format maps directly onto how commercial auctioneers work: an estate sale is an event, a liquidation is an event, a monthly antiques sale is an event. Buyers register in advance, browse the full catalog before bidding opens, and compete across multiple lots in a single session. When a bid comes in during the final minutes, the lot automatically extends — giving other bidders time to respond without the rest of the sale being disrupted.

The critical difference from SaaS event platforms: per-event pricing is the norm across the market. Platforms charge £800–£1,999 per event on top of a monthly subscription, plus a percentage of gross sales. PHP Pro Bid charges for the software once. Run 2 events a year or 200 — the price is the same.

How it works

Staggered lot closing — the mechanism that makes auction events work online

In a traditional room auction, bidding on one lot closes before the next opens. Online, staggered closing replicates this: lots close sequentially, a few minutes apart, creating natural competitive momentum across the entire catalog.

Bidders can follow multiple lots at once. A soft close on any lot (triggered when a bid arrives in the final minutes) extends that lot only, without disrupting the rest of the sequence.

01

Create the event

Name your event, set the opening date, and configure buyer registration requirements. The event is visible in your catalog before bidding opens.

02

Build your lot catalog

Add lots individually or bulk-import via CSV. Set opening bid, reserve, buyer's premium, and images per lot. Arrange the closing order by drag-and-drop.

03

Set staggered closing times

Choose your closing interval — 2, 3, 5 minutes or custom. The system calculates and assigns every lot's closing time automatically. Soft-close extension is configurable.

04

Invoicing & settlement

When the last lot closes, PHP Pro Bid automatically consolidates each buyer's winnings into a single invoice. Payment links included. Unsold lots can be relisted instantly.

Who uses Auction Events

Every industry that sells at scheduled auction

The Auction Events format isn't defined by what you sell — it's defined by how you sell. Any business running a dated, cataloged sale with competitive bidding is running an auction event.

Estate Sale Auctions

Clear a complete property contents in a single event. Furniture, art, jewelry, collectibles, kitchen — all cataloged as lots, all closing sequentially over hours or days. Buyers get a full catalog preview; you get consolidated invoices and no per-lot fees.

Typical: 80–400 lots · 1–3 day event · £0 platform cut

Business Liquidations

Retail closedowns, restaurant equipment, office contents, stock clearance. Run as a timed event with the full asset list published in advance. Buyers bid across the whole asset list from one place. Post-sale invoicing and removal scheduling built in.

Typical: 100–600 lots · 1–5 day event · Per-lot buyer's premium

Vehicle Auctions

Classic cars, fleet disposals, trade auctions, motorcycles. Each vehicle is a lot with its own reserve, condition report, and photo gallery. Buyers can inspect the catalog before the event opens. Reserved bidder approval keeps unqualified bidders out.

Typical: 10–150 lots · 1–2 day event · Reserve pricing standard

Antiques & Fine Art

Monthly or quarterly cataloged sales — the traditional model for established auction houses. Long preview periods, reserve-heavy lots, absentee (proxy) bidding prominently used. Multiple events per year on the same platform with no incremental cost.

Typical: 50–250 lots · 7–14 day event · Proxy bidding heavily used

Farm & Agricultural Machinery

Retirement dispersal sales, seasonal equipment auctions, livestock dispersals, and farm tools — sold as timed lots rather than a live ring. High-value lots often with complex descriptions, VIN/serial numbers, and multiple photos. Bulk catalog import from CSV saves hours of data entry.

Typical: 30–200 lots · 2–7 day event · High per-lot values

Industrial & Commercial Assets

Plant closures, manufacturing equipment, office fitouts, warehouse contents. Often involves restricted-access bidder registration, removal scheduling, and lot-level compliance terms. PHP Pro Bid supports per-lot custom terms and manual buyer approval.

Typical: 50–500 lots · 3–10 day event · Buyer approval required

Periodic Commercial Auctions

Weekly, monthly, or quarterly sales run by established auction businesses. Multiple events running simultaneously on the same platform — last week's event wraps while next week's catalog is already live. Relist events to speed up repeat setups.

Typical: Running 2–8 events simultaneously · Relist previous catalogs

Jewelry & Collectibles

Photo-led lots with grading notes, provenance, and certificates of authenticity. Collectors search by category, period, and maker. The fixed-price shopping cart runs alongside the auction, letting buyers purchase buy-now items in the same session.

Typical: 40–150 lots · Buy-now available alongside bidding · Global buyer base

Surplus Stock & Returns

Retail returns, overstock, ex-display, end-of-line. Run timed events to clear inventory quickly without third-party marketplace fees. Bulk-import item lists from a spreadsheet. Buyers pay buyer's premium — your cost to sell stays flat regardless of GMV.

Short 24–48h events · High volume, lower per-lot values
Platform capabilities

Everything the Auction Events format requires

Built for businesses running real cataloged sales — not adapted from a general e-commerce platform.

Staggered Lot Closing

Set a closing interval — 2, 3, 5 minutes or custom. The system automatically staggers every lot's close time across the catalogue. Adjustable per event.

Soft Close / Anti-Sniping

A bid placed in the final minutes automatically extends the lot's closing time. Only that lot extends — the rest of the sequence continues unaffected.

Proxy (Absentee) Bidding

Bidders set a maximum they're willing to pay. The system bids automatically on their behalf up to that limit. Essential for cataloged antiques and fine art sales.

Bulk Lot Import via CSV

Upload hundreds of lots at once from a spreadsheet. Map columns to lot fields — title, description, opening bid, reserve, category, photos. Saves hours on large catalogs.

Auto-Invoicing Per Buyer

When the last lot closes, PHP Pro Bid automatically generates a consolidated invoice for each winning bidder across all their lots. Buyer's premium and fees applied automatically.

Buyer Registration & Approval

Require registration before bidding opens. Approve buyers manually or automatically. Block unverified bidders from high-value catalogs.

Buyer's Premium & Fee Control

Set buyer's premium globally or per event. Configure flat listing fees, tiered premiums by value, and per-category fees. Full control — the platform never takes a cut.

Relist Events

Carry a previous event's settings — fees, registration rules, terms, layout — into a new event. Rebuild your next sale in minutes instead of starting from scratch every time.

Every other platform charges per event. PHP Pro Bid doesn't.

The standard model for auction events software is a monthly subscription plus a per-event fee, plus a percentage of gross sales. That's three layers of cost on top of each other. PHP Pro Bid charges for the software — once, or monthly. Run as many events as you want for the same price.

Common questions

Auction Events — answered

What's the difference between an Auction Event and a Timed Auction in PHP Pro Bid?
A Timed Auction is always-on: individual lots are listed with their own start and end dates, independent of each other. Great for ongoing sales where new items are added continuously. An Auction Event is a scheduled, named sale — a defined catalog that opens and closes as a unit, with lots closing sequentially. The event format is right for estate sales, liquidations, periodic auctions, and any sale where the full catalog is published before bidding opens. Both formats run on the same installation, on the same platform, at no additional cost.
How does staggered lot closing work in practice?
You set a closing interval, say 3 minutes. PHP Pro Bid automatically assigns closing times to every lot in sequence: lot 1 at 14:00, lot 2 at 14:03, lot 3 at 14:06, and so on. Bidders can follow multiple lots simultaneously and move their attention as each one approaches close. If a bid is placed in the final minutes of any lot, that specific lot's closing time extends (soft close), without affecting any other lot's schedule. You can configure the interval and the soft-close window per event.
Can I run multiple auction events at the same time?
Yes — unlimited simultaneous events on the same platform. A commercial auctioneer running weekly sales will typically have several events live at once: this week's estate sale closing while next week's liquidation catalog is already open for preview, and the following month's machinery sale is being built. Buyers see all active events on your platform and can register for and bid across multiple events. No per-event fees, no additional licenses required.
How are invoices handled after the event closes?
When the last lot in an event closes, PHP Pro Bid automatically generates a consolidated invoice for each winning buyer — aggregating all their winning lots, applying buyer's premium, fees, and any applicable taxes. Invoice emails go out automatically with payment links. Buyers who won a single lot get a single-item invoice; buyers who won ten lots get one invoice for all ten. You can also manually trigger invoicing mid-event if needed. Unsold lots can be relisted instantly into a future event or into timed auction.
Is the Auction Events format included in all plans?
Yes. The Auction Events format, Timed Auctions, and the Marketplace with shopping cart are all included on every plan — License (£399 one-time), Cloud (from £63/month), and VPS (from £159/month). You don't need a higher tier to unlock the events format, and there are no per-event add-on fees. All three formats run on the same installation, accessible from the same admin panel.
How large a catalog can an auction event handle?
PHP Pro Bid imposes no hard lot limit per event. In practice, how large a catalog you can run smoothly depends on your hosting environment rather than the software: larger catalogs and heavier bidder traffic call for more capable hosting. On the Cloud and VPS plans, the infrastructure is managed to handle high-volume events. On the License plan, your server's capacity is the determining factor; the software itself imposes no ceiling.
